The Problem

Compliance Complexity with Tool Flexibility

An independent consultant with a small team who outgrew simple invoicing. They needed e-invoice compliance (LHDN) and professional liability insurance (E&O) tracking - but dreaded being locked into an all-in-one platform. They were already using self-hosted tools they loved (similar to InvoiceNinja for invoicing, and document signing tools similar to DocuSign) and refused to abandon them.

Original Workflow

1. Self-hosted invoicing tool for day-to-day billing
2. Separate document signing tool for contracts and E&O documents
3. Manual process to cross-reference invoices with corresponding E&O coverage
4. E-invoice compliance done manually - formatting and submitting to MyInvois
5. No automatic link between an invoice and its related liability documentation

Our Approach

Plugin Architecture - Connect, Don't Replace

Instead of replacing the consultant's favourite tools, we built integration plugins that connected them. The key principle: if you like a tool and it works for you, keep it. We will make it talk to the compliance systems. This meant developing custom software that bridges the self-hosted invoicing tool to the e-invoice platform, and automatically links invoices to E&O documents.

Caveats & Considerations

Required custom plugin development (not an off-the-shelf solution)

We developed software plugins that integrate the consultant's existing invoicing tool with the LHDN e-invoice platform (MyInvois), automatically link each invoice to its corresponding E&O documentation, and use AI to highlight potential coverage gaps or compliance issues. The consultant keeps their preferred tools - we just made them compliance-ready and interconnected.
